Quick Apply Full-time 11 hours ago Full Job Description We are looking for a Property Manager to be responsible for the direct management oversight of assigned residential property, Perdido Isle Apartments in Orange Beach, AL.
The goal is to maximize asset value, customer satisfaction and revenue.
POSITION SUMMARY The Property Manager is totally accountable for all property operations at their assigned communities.
The primary purpose is to provide support to the property staff to effectively manage and coordinate personnel, day to day activities, strategic planning, budgeting, investor communications and reporting and all other activities required to accomplish property objectives as set forth by the company.
The objectives include maximizing revenue and occupancy levels which have a direct impact on property value.
The property manager will provide superior training to all site personnel, including the Assistant Property Manager, Leasing staff, and Maintenance teams.
The Property Manager is an essential member of the Property Operations Management Team and reports directly to the Area Vice President and/or Chief Operating Officer.
The Property Manager's primary role is total accountability for all property operations and must be able to perform and train staff on all administrative duties.
Property Manager shall have a broad understanding of building maintenance to provide guidance, training and support to the maintenance team.
ESSENTIAL DUTIES AND RESPONSIBILITIES Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act and all other laws pertaining to apartments.
Demonstrate and ensure staff maintains professional level of appearance, hygiene, courtesy and dress while at work.
Provide quality, professional customer service to all prospective, existing and former residents.
Financial In conjunction with the AVP/COO, the Property Manager will assist in formulation of budgets and strategic business plans for each upcoming calendar year.
The Property Manager is responsible for staying within the established budget guidelines throughout the year.
Ensure that all rents are collected when due and post in a timely manner, daily.
Makes sure that all bank deposits are made daily.
Perform evictions in accordance with local laws.
Constant vendor/contractor communications concerning work scheduling, billings, vendor relations and certificates of insurance.
Property Manager is responsible for approving and submitting all invoices to the appropriate office for payment, request necessary authorizations and operate the computer A/P system.
If applicable, personally control and safeguard Petty Cash Fund, submit timely reimbursement requests, regularly balance fund.
Review and sign off on all final account statements, invoices, and dispositions.
Read and understand the financial statement and all required financial reports.
Personnel Hire, terminate, train, motivate and supervise all on-site staff in order to achieve operational goals of assigned property.
New employee orientation and indentation, monthly one on one meeting, quarterly and annual performance reviews, counseling, instructing and advising on-site staff of employee procedures and guidelines.
Conduct on-going training with office staff; e.
g.
, leasing paperwork, workplace safety, fair housing and any other type of training that may be needed on a daily basis.
Conduct regular staff meetings.
Maintain accurate attendance, vacation and sick time information.
Review and approve timesheets.
Ensure confidentiality of information.
Office / Administration Responsible for office opening daily on set schedule, condition of office, model apartments and show units.
Notify AVP/COO of any unplanned office closures during set daily schedule.
Ensure that lease files are in order with all required documents per company policy and that completion of lease and lease addendums are executed properly.
Maintain records on all aspects of management activity on a daily, weekly and monthly basis.
Review for accuracy all reports submitted to appropriate office on a weekly and monthly basis.
Maintain all files and dead files in accordance with company policy and conduct ongoing audits of all leasing, bookkeeping and maintenance records and lease/resident files.
Create on-site goal boards / incentive programs / motivate staff to meet company goals.
Complete Guest Card or OneSite information form on all prospects, send thank-you notes and perform follow-up.
Correctly complete all lease applications, assist with application verification and notify prospective residents of results.
Type miscellaneous resident communication as needed.
Correctly complete all lease paperwork including related addenda and accept rents and deposits.
Physically inspect property when on grounds, pick up litter and report any service needs to maintenance staff.
Inspect move-outs and vacancies.
Inventory office supplies on periodic basis.
Organize and file appropriate reports, leases and paperwork.
Attend meetings and training as required.
Prepare daily and weekly reports, resident communications, move-out inspections, market surveys, etc.
Ensure that move-in packet is complete and appropriate keys are available at move-in.
Check email frequently throughout the day and reply to prospective requests Check messages from answering service and respond accordingly.
Complete all paperwork related to leasing, phone logs, follow-up procedures, etc.
Take service requests and perform appropriate number of call backs.
Update status of work orders in OneSite on a daily basis as needed.
Prepare and type lease renewals.
Understand, operate and manage the computer receivables system in accordance with company policies and procedures.
Organize and file all applicable reports, leases and paperwork.
Proof read all lease paperwork and process move-ins and move-outs.
Process all security deposit dispositions in a timely manner.
Accept service requests from residents and route to maintenance for prompt processing.
Conduct service follow-up with resident when work is completed.
Maintain computer hardware, software and supplies in accordance with company policy and instruction.
Be familiar with payables policies and procedures and maintain payables system.
Process credit checks on applications as required.
Have a working knowledge of all company approved software (i.
e.
Microsoft Office, Blue Moon, RealPage Products, etc.
).
Income Collection Update system daily for accurate reporting.
Maintain accurate resident records.
Update on a daily basis all rents, deposits and application fees received from residents.
Issue appropriate notices in accordance with company policy and state law when necessary (e.
g.
, late payments, eviction notices, returned check memos, renewals, etc).
Collect and stamp rental and other income checks and make daily bank deposits.
Actively pursue recovery of delinquent monies and provide list of delinquent accounts to attorneys for action in accordance with state and local laws.
Ensure proper handling and scheduling of evictions and skipped units.
Set up payment plans where possible on bad debt accounts.
Send remaining accounts to collection agency.
Maintain record of all bad debt accounts showing payment progress.
Marketing & Leasing Maintain a professional, yet friendly, atmosphere in the leasing office and other areas where prospective residents and residents meet.
Inspect tour routes, models and show apartments daily to ensure cleanliness.
Greet prospective residents, determine needs and preferences, and professionally present property and specific apartments while providing features and benefits.
Open and close models at beginning and ending of each day including adjusting lights, blinds, ambient sound and HVAC.
Answer incoming phone calls prior to the third ring in a cheerful and professional manner and handle each call accordingly whether it is a prospect call, irate resident, service request, etc.
Listen to the client.
Maintain a minimum closing ratio of 33% with qualified prospects.
Maintain awareness of local market conditions and trends.
Contribute ideas to the AVP/COO for marketing property and for improving resident satisfaction.
Prepare, initiate and execute off-site marketing.
Prepare move-in gift, if applicable, and place it in the apartment on the day of move-in.
Walk the apartment with the resident at or before move-in.
Assist in resident retention program, resident appreciation days and special functions as requested.
Safety Property Manager shall complete pertinent safety checks to prevent loss.
Report all liability and property incidents in accordance with company policy.
Ensure that all workers' compensation claims are reported, and proper paperwork is completed in accordance with required state law and company policy.
Prepare and submit Incident Reports in accordance with company policy.
Ensure there is a viable and relevant Disaster and Emergency Plan for the property and brief staff on plan.
Document and discuss any other life-safety issues on the property as they occur (i.
e.
missing railings, missing utility covers).
Resident Relations Provide quality customer service to all prospective and existing residents.
Physically inspect property when on grounds, picks up litter and reports any service needs to maintenance staff.
Inspect move-outs and vacancies when requested.
Attend resident retention activities as required.
General Perform any additional duties assigned by AVP, COO, and the President of the company.
Attend meetings and training as required.
